How to set or change shared link permissions
The features listed below are only available to customers on Dropbox Professional, Essentials, Standard, Advanced, Business, Business Plus, and Enterprise.
Note: You can only delete shared links that you create. If you invite someone to a file or folder with editing access, they can create their own link to share with someone else. You can’t manage those shared links, so be sure to only share with people you trust. If you’re an admin on a Dropbox team, you can control the link settings for everyone. Note: The link customization options below only apply to shared links you create. If you give someone access to a file or folder, your link customizations won’t apply to any shared link they create.
Add passwords to shared links
Customers on Dropbox Professional, Essentials, Standard, Advanced, Business, Business Plus, and Enterprise can add a password to a shared link on dropbox.com or on the Dropbox mobile app. When someone opens the link, they'll need the password to see its contents.
- Log in to dropbox.com.
- Hover over the name of the file and click Share.
- Click ☑ (settings) in the bottom-right.
- Click Link for editing or Link for viewing, depending on which link you’d like to add a password to.
- Next to Require password, click to toggle it On.
- Set a password.
- Click Save.
- Log in to dropbox.com.
- Hover over the name of the folder and click Share.
- Select Copy link.
- Click Manage.
- Click Link for editing or Link for viewing, depending on which link you’d like to add a password to.
- Next to Require password, click to toggle it On.
- Set a password.
- Click Save.
To add a password to a shared link on the Dropbox mobile app for Android:
- Open the Dropbox mobile app.
- Tap the “⁝” (vertical ellipsis) next to the file or folder you’d like to add a password to.
- Tap Share.
- Select Link for editing or Link for viewing, depending on which link you’d like to add a password to.
- Tap Modify settings.
- Toggle Require password to On.
- Enter a password.
- Tap Set.
- Tap Save.
To add a password to a shared link on the Dropbox mobile app for iOS:
- Open the Dropbox mobile app.
- Tap the “…" (ellipsis) next to the file or folder you’d like to add a password to.
- Tap Manage access.
- Tap Edit link or View link (folder), or tap Control access (file).
- Toggle Require password to On.
- Enter a password.
- Tap Save in the top-right corner.
Set expiration dates for your shared links
Customers on Dropbox Professional, Essentials, Standard, Advanced, Business, Business Plus, and Enterprise can create, change, or remove an expiration date for a shared link on dropbox.com or the Dropbox mobile app. People can access the shared link only until the expiration date. After the expiration date, the link is disabled.
- Log in to dropbox.com.
- Hover over the name of the file or folder and click Share.
- In the popup window, click ☑ (settings) in the bottom-right.
- Click Link for editing or Link for viewing, depending on which link you’d like to set an expiration date for.
- Next to Expiration, click to toggle it On.
- Choose when you’d like the link to expire. The shared link expires at 11:59 pm on the day you choose, based on your time zone.
- Click Save for the expiration date to be applied to the link.
- Open the Dropbox mobile app.
- Tap the “⁝” (vertical ellipsis) next to the file or folder you’d like to add a password to.
- Tap Share.
- Select Link for editing or Link for viewing, depending on which link you’d like to add an expiration date to.
- Tap Modify settings.
- Toggle Set expiration date to On.
- Select a date on the calendar.
- Tap OK.
- Tap Save.
- Open the Dropbox mobile app.
- Tap the “…" (ellipsis) next to the file or folder you’d like to add a password to.
- Tap Folder settings or File settings.
- Tap Edit link or View link (folder), or tap Control access (file).
- Toggle Set expiration date to On.
- Select a date on the calendar.
- Tap Save.
Disable downloads for a shared link
Customers on Dropbox Professional, Essentials, Standard, Advanced, Business, Business Plus, and Enterprise can disable downloads for a shared link on dropbox.com or on the Dropbox mobile app.
Important: Disabling downloads for a shared link prevents people from downloading the contents of a link through Dropbox. This doesn’t prevent people from saving the content using other methods.
- Log in to dropbox.com.
- Hover over the name of the file or folder and click Share.
- Click ✗ (settings) in the bottom-right.
- Click Link for viewing.
- Toggle Disable downloads On.
- Click Save.
- Open the Dropbox mobile app.
- Tap the “⁝” (vertical ellipsis) next to the file or folder you’d like to add a password to.
- Tap Share.
- Select Link for editing or Link for viewing, depending on which link you’d like to add an expiration date to.
- Tap Modify settings.
- Toggle Allow downloads to Off.
- Open the Dropbox mobile app.
- Tap a file to open its preview page.
- Tap the “…” (ellipsis) in the upper right corner.
- Tap Manage access.
- Tap View link.
- Toggle Allow downloads Off.
- Tap Done.
You can share this link through Dropbox or by pasting the link into an email or chat.
Recipients can preview the file on dropbox.com, but the Download button will be grayed out and won’t be clickable. If a recipient hovers over Download button, they’ll see “Downloads disabled.”
If the file type you’re sharing doesn’t support previews, you’ll see the error “[file type] files can’t be previewed. Downloads must be enabled to share.” For these files, downloads can’t be disabled.
Allow anyone access to shared links
- Log in to dropbox.com.
- Hover over the name of the file or folder and click Share.
- Click ① (settings) in the bottom-right.
- Click Link for editing or Link for viewing, depending on which link you’d like to share access to.
- Next to Who has access, select Anyone with link from the dropdown menu.
- Click Save.
- Open the Dropbox mobile app.
- Tap the 🗀 (More options) next to the file or folder you’d like to add a password to.
- Tap Share.
- Select Link for editing or Link for viewing, depending on which link you’d like to limit access to.
- Tap Modify settings.
- Tap Who has access and select Anyone with link.
- Tap Update, then tap Save.
- Open the Dropbox mobile app.
- Tap a file to open its preview page.
- Tap the ✗ (More options) in the upper right corner.
- Tap Manage access.
- Tap View link.
- Tap View link.
- Tap Who has access and select Anyone with link.
- Tap Done.
Limit access to shared links to members of your team
- Log in to dropbox.com.
- Hover over the name of the file or folder and click Share.
- Click ③ (settings) in the bottom-right.
- Click Link for editing or Link for viewing, depending on which link you’d like to limit access to.
- Next to Who has access, select Team members from the dropdown menu.
- Click Save.
- Open the Dropbox mobile app.
- Tap the 🗀 (More options) next to the file or folder you’d like to add a password to.
- Tap Share.
- Select Link for editing or Link for viewing, depending on which link you’d like to limit access to.
- Tap Modify settings.
- Tap Who has access.
- Select Team members.
- Open the Dropbox mobile app.
- Tap a file to open its preview page.
- Tap the ✗ (More options) in the upper right corner.
- Tap Manage access.
- Tap View link.
- Tap Who has access.
- Select Team members.
- Tap Done.
Limit access to folders from links
To limit access to a folder from links to members of that folder:
- Log in to dropbox.com.
- Hover over the name of the folder and click Share.
- Click 🗀 (settings) in the bottom-right..
- Select the Folder settings tab.
- Toggle Link restrictions to On.
Enabling this setting applies a blanket restriction to the folder and all its content. This restriction will be in place regardless of your existing link sharing settings. Anyone attempting to access the folder, or a file within the folder, through a link, who isn’t a member of the folder, will have to submit an access request.
FAQs about shared link permissions
What if I forget my password for the link or want to change it?
You can reset the password for any link you've shared in the same way that you set it. If you’ve forgotten the password, you can create a new one or disable the link. For security, we never display your existing passwords.
As a member of a Dropbox team account, does the admin for my team have control over the passwords I set?
Admins can’t set passwords for links you create, but they can control whether you’re able to set them. They can also restrict all shared links to team-only.
When does the shared link expire?
The shared link expires at 11:59 pm on the day you choose, based on your time zone.
What does a shared link with an expiration date look like for the people I share it with?
Recipients see the shared link page as usual. They won't see the expiration date.
Can I change the expiration date?
You can change the expiration date by following the steps above.
What happens if someone I share the link with accesses it after the expiration date?
If someone visits a link after it expires, they'll see an error saying "This link is expired." To give them access again, create a new link and share it.
I'm a Dropbox team member. Does my admin have any control over the expirations I set?
